Summary

Under the supervision of the Building Principal, the Athletic Director is responsible for coordinating and executing a multifaceted range of tasks in relation to the operation of the Athletic Department. Incumbents are expected to oversee gameday and special event logistics, including venue setup, teardown while also collaborating and determining vendor relations, training programs, recruitment, scheduling, and technology related initiatives.

 

Supervision Received and Exercised

Receives general supervision from higher-level staff. Exercises supervision of lower level staff.  

 

Essential Duties and Responsibilities

Management reserves the right to add, modify, change, or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job.

  • Responsible to the Director of Secondary Education and works for the high school principal while overseeing the total district wide athletic program. 
  • Responsible for administering all interscholastic policies and procedures working within the confines of the Rules and By-Laws of the Michigan High School Athletic Association. 
  • Observes coaches sufficiently in order to make future recommendations in terms of job expectations and to make recommendations to the school principal as to coaches’ job assignments. 
  • Responsible for evaluating all new candidates for head coaching  appointments and shall be a member of the selection committee which includes in addition to him/her, the principal and the superintendent of schools or their designees. 
  • Responsible for all recommendations for the improvement of adequate facilities which shall be directed to the Superintendent of Schools for consideration and referral at his discretion.
  • Responsible for the development of all interscholastic game schedules supported by a copy of the contract form in his files and approve the publication of all schedules. 
  • Responsible for contracting all game officials including those assigned by the Macomb Athletic Conference. 
  • Interprets Board Policy to the extent necessary to provide guidance for the schools and coaches under his jurisdiction. 
  • Responsible for the harmonious operation of the athletic department, resolving any disputes that may arise quickly and with integrity.
  • Submits a financial report to the Athletic Board and to the Board of Education at the end of each school year. 
  • Makes the arrangements for all interscholastic events such as transportation, lodging and meals, when required. 
  • Receives equipment quotations from authorized coaches, evaluates such requests and approves appropriate orders. 
  • Attends all home athletic contests and/or arranges for proper supervision of home athletic contests by administrative personnel. 
  • Acts as tournament manager for all league and tournament playoff activities that are assigned to the school district. 
  • Sends reminders of coming events to schools and officials. Responsible, along with the Principal, after consulting the Head Coach, for the cancellation or postponement of contracted contests because of non-playing conditions. 
  • Supervises the assistant athletic director(s), office personnel, and middle school personnel. 
  • Supervises all radio and television broadcasts, as well as the public address system operation at the various games. 
  • Maintains a permanent file of players, medical examinations, insurance forms, records, parent consent forms, payments, etc. 
  • Maintains permanent records for each sport, such as wins and losses, outstanding records, letterpersons, etc. 
  • Administers the Athletic Code of Conduct concerning athlete misconduct, giving each athlete “Due Process”. 
  • Responsible for determining scholastic eligibility of all candidates for athletic teams on a weekly/grading period/semester basis and for certifying their eligibility on the proper state forms. 
  • Coordinates with the District Office the coaches’ requests to attend coaching clinics at Board of Education expense. 
  • Works in conjunction with the High School Principal and Middle School Principals in developing the yearly budget for the athletic program as requested by the Head Coaches. 
  • Works with the Principal(s), cheerleading advisors and coaches involved in scheduling all athletic assemblies and pep rallies.
  • Coordinates the use of all athletic facilities in the school district with the respective Building Principals by groups outside the school. 
  • Responsible for game management at all home interscholastic contests and, when admission is charged, is responsible for the safekeeping and deposit of gate receipts. 
  • Provides for the cleaning, repairing and storing of all athletic equipment and maintaining a perpetual inventory of all equipment. 
  • Establishes procedures for the control of the training room. Arranges for appropriate medical personnel at all home varsity football games and larger athletic events. 
  • Supervises the physical equipment and schedules facilities for all interscholastic athletic contests. 
  • Plans, organizes and supervises all athletic awards programs with the Booster Club, with the approval of the Principal(s) involved. 
  • Coordinates with the Supervisor of Maintenance the repair and maintenance of varsity athletic field, track, baseball field and gymnasiums, including physical education facilities. 
  • Manages athletic facilities and controls the use of same by band, football team, track squad, etc. 
  • Hires or makes necessary arrangements to provide ushers, parking, security and other services required by the athletic operation. 
  • Assumes responsibility for assignment of keys to athletic facilities and gymnasium, including physical education facilities. 
  • Represents the school in all athletic business at League, Conference and State meetings. 
  • Works out a reasonable and equitable program for the utilization of the concession stands. 
  • Responsible for scheduling physical examinations in accordance with the requirements of the State High School Association. 
  • Responsible for the operation and organization of the press boxes. 
  • Attends all meetings and is the liaison person between the school administration, coaches and the Athletic Booster Club. 
  • Assists the administration in the preparation and the distribution of complimentary passes for the school district. 
  • Maintains an active program that promotes sportsmanship and welcomes the competing teams and guests. 
  • Coordinates the annual review of the Athletic Policies along with Building Principals. Presents recommendations for changes in athletic policies from the Athletic Board to the Superintendent.  These recommendations shall be acted upon by the Board of Education .
  • Regularly evaluates the program, always seeking ways of improving interscholastic athletics. 
  • Responsible for the safety and administration of the school plant used during athletic practices and events. 
  • Evaluates staff and recommends removal of those whose work is unsatisfactory according to established procedures. 
  • Regular and reliable in person attendance is an essential job function.
  • Performs such other duties as the Principal and/or Superintendent of School may direct. 

  

Qualifications

Education and Experience:

  • High school diploma or GED equivalent required.
  • Bachelor’s degree is required.
  • Appropriate teacher certification or athletic administration certification preferred. 
  • Previous experience as a coach is required. 
  • Knowledge of the overall operation of an athletic program is required. 

 

Knowledge of:

  • Knowledge of athletic operations in a school district.
  • Knowledge of federal and state laws and regulations regarding athletic programs and operation in a school district.
  • Basic knowledge in social media management.

 

Ability to:

  • Effectively manage concurrent tasks and adhere to demanding time constraints.

  • Establish and maintain positive effective relationships with athletes, parents, coaches, and staff.
  • Apply mathematical concepts pertinent to athletic program management, encompassing addition, subtraction, multiplication, division, fractions, percentages, ratios, and proportion.

  • Effectively utilize personal computer skills to efficiently update pertinent information within the Athletic Department and effectively manage social media platforms.
  • Speak clearly and concisely both in oral and written communication.

 

Physical Demands

Must possess mobility to perform moderate physical work; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone or radio. The classification supports indoor and outdoor programs requiring frequent walking, running, conducting exercises, and related physical activities. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, calculator, or tools and equipment used in the assigned program area. Program activities may require sitting, standing, walking on level and slippery surfaces, reaching, twisting, turning, kneeling, bending, stooping, squatting, crouching, grasping, and making repetitive hand movement in the performance of daily duties; the ability to lift, carry and push tools, equipment, and supplies weighing up to 50 pounds or heavier weights with assistance and/or the use of proper equipment.

 

Environmental Elements

Incumbents work in both indoor and outdoor environments with moderate to loud noise levels. May work in controlled temperature conditions, cold and hot temperatures, or inclement weather conditions. May be exposed to communicable illnesses, blood, and body fluids. Incumbents will interact with individuals in interpreting and enforcing rules, policies, and procedures.

 

Working Conditions

Incumbents may be assigned an on-call and irregular work schedule, including weekends, early mornings, and evenings.
